Approvals
Which approvals will actually land before 16:00, and what happens to the ones that do not?
7.5 hours to the cut-off
Waiting on a signature
5 items
$327 between them, across 3 managers — and every one of them pays on Friday either way
The approval records whether the hours were authorised, never whether they are owed.
Longest wait
74 hours
Vukoja, rate change, +$0.40 — raised before the weekend and not yet opened
Anything past forty-eight hours has, historically, about a one-in-three chance of landing at all.
Will default at the cut-off
4 of 5
past forty-eight hours, where about one in three has historically landed at all — they pay as worked, and the approval is recorded as absent rather than refused
What happens to an approval that never comes
- 1It pays. Unapproved overtime is still overtime somebody worked, and the ledger records that it was unapproved.
- 2Past seventy-two hours it is closed automatically and logged as absent — never as refused. Nobody has refused anything by ignoring an email.
- 3A refusal has to be a refusal, typed, with a reason, by the manager. It goes to the employee, not just onto this screen.
- 4A rate change waiting on approval pays at the old rate and is corrected next period, which is the only default that can be wrong in the employee's favour later rather than now.
The seventy-two-hour rule exists because the alternative is a queue that grows for ever and a payroll clerk making an operations decision at ten to four on a Tuesday.
Why the wait is the headline figure
The cost tells you what is at stake and nothing about what to do. The wait tells you which chase to make first: seventy-four hours on a rate change means the scheduler has not opened it since Friday, and that is a different phone call from one raised this morning.
It is also the figure nobody wants on a screen, because it makes slowness visible and attributable. That is the point of it, and it is attached to the item rather than to a person’s record.

| Item | Cost | Waiting on | Hours waited | If it never arrives |
|---|---|---|---|---|
| Vukoja, InesA-414 · Rate change, +$0.40 · Riverside Medical Park | $8 | A. Fennimore | 74 h of 72 | Likely to defaultOne day paid at the old rate, and corrected next period with an apology. |
| Vukoja, InesA-415 · Covering rate, 2 shifts · Perrysburg Schools | $26 | M. Yancey-Ntuli | 74 h of 72 | Likely to defaultPaid at her home rate, which is lower. Corrected next period. |
| Brozek, DanutA-411 · Overtime, 6.4 h · Maumee Distribution | $173 | R. Delacroix-Mbeki | 51 h of 72 | Likely to defaultPaid. Unapproved overtime is still worked overtime. |
| Sarpong, DellaA-412 · Overtime, 3.0 h · Two sites | $81 | R. Delacroix-Mbeki | 51 h of 72 | Likely to defaultPaid, and the combined-week cap is breached again next week unless the roster changes. |
| Nakagawa-Bell, SuA-413 · Overtime, 1.5 h · Perrysburg Schools | $39 | R. Delacroix-Mbeki | 27 h of 72 | Still livePaid. The verbal approval on site was real. |
Two of these five are the same employee moving between two sites in one week, raised against two different managers, neither of whom owns both halves of it. That is not an approvals problem and no approvals screen will fix it — it is on here so that the fourth time it happens somebody says so out loud.
